Review Management and Monitoring- How It Works

1. Create an online hub for your review activity
We will create one page on your website to be your main review hub. This page will contain all your past review text, summary of ratings and links to leave new reviews. It will be search optimized to rank in Google for “CITY SPECIALTY reviews” and “SPECIALTY reviews CITY”. (e.g. Dallas chiropractor reviews or Cosmetic Dentist reviews Toronto)
2. Gather your review URLs and review text
We will visit all of the major third-party review sites and collect your links and record all the text from past reviews. This will be presented back in a summary report. See a Sample Report.
3. Promote your third-party review sites online and offline making it easy for patients to leave reviews

Offline: We will create QR codes for your home page, your reviews page and all of your major third-party review sites. Then we’ll create signs out of your custom QR codes that you can display in your front office. When patients scan the QR on their smartphone they’ll be taken directly to your pages. All you have to do is display the sign in a prominent location and ask patients to leave a review.
Online: We will create and install a review widget on your website that nicely displays all the choices that patients have for leaving reviews. Patients will be able to follow the links directly to the correct page so there is no risk of reviews landing in the wrong place.

4. Publish review text to your website in search engine-friendly microformats
We will publish all the text we collect from third-party review sites on your website so that potential patients can read it.

The review text will be formatted in the hReview microformat (a form of rich snippet) that search engines understand to be a review. This allows your reviews to be syndicated and for star ratings to display in your search preview. These stars really draw attention to your result versus others on the page.
5. Monitor new review activity with daily alerts and monthly summaries

We scan all of your third-party review pages on a daily basis. Any new reviews that have been added trigger an email alert. The new review email alert will contain the rating, the review text and a direct link to the review to make it easy to leave a ‘reply from the owner’ where appropriate. You’ll be notified of new reviews daily with an end-of-day summary.
Monthly

Sample month-end review report.
At the end of each month, you’ll get a summary of all your review activity across Google Places, Yahoo Local, Yelp, Superpages and any other relevant review sites. You’ll be able to gauge the overall sentiment – positive, negative or neutral – at a glance and have a record of the full text and date of each review. Reports are sent by email as a PDF on or near the first of each month.

Do reviews matter for search engine rankings?
Most experts agree that search engines are using three pieces of information culled from your online reviews as a factor in your search rankings. The same experts also predict that reviews will be a stronger single in the future than they are now. The weight given to each is unknown and subject to change at any time. They are:
- Review quantity
- Average review rating
- Review velocity or recency
Do reviews matter for acquiring new patients?
Yes. In a big way. This 2011 survey of local consumers revealed that:
- 67% of local consumers have read online reviews of local businesses
- 69% of local consumers trust online reviews as much as personal recommendations.
- 49% of local consumers are more likely to use a business that has positive reviews.
- Local consumers like to read up to 10 reviews before making a decision about which local business to use.
Do I still need to ask for patient reviews?
Yes. You need to do the asking. We are operating in the background to alert you to new reviews and gather the text to post on your website. In addition to your personalized signs for your office, we also provide standard email and social media text that you can send out periodically to ask for reviews.
What kind of results can I expect?
This is hard to answer and really depends on where you are starting in terms of review count and website conversions. You should notice an increase in your new patients as you reach the milestones of 10 positive reviews, 40 positive reviews and 100 positive reviews, respectively. In the world of reviews, more is more.
Do you need access to my website?
Yes. We will need to be able to edit (or create) your Reviews page and place a summary of ratings on your home page.
What happens if I don’t have profiles on all the sites you mentioned?
It is a good idea to offer consumers choices about where to leave reviews. If you don’t have profiles on the top 4 review sites – Google Places, Yelp, Yahoo Local, SuperPages – we’d encourage you to create them. It’s free and will probably take 10-15 minutes per site.
How soon will review monitoring start?
You can expect to start getting email alerts of new reviews about 3 business days after enrolling in the service.
How soon will the reviews and review widget appear on my website?
This varies based on the number of historical reviews we find for you. Allow 10 business days although it is often completed much sooner.
How soon will the extra stars appear on the search engine results page?
This is out of our control. In many cases it takes 48 hours or less, but there is nothing we can do to speed it along. We do a final error check to make sure the hReview code is testing properly and then we wait for Googlebot to find it.
What should I do if I get a bad review?
We have some tips and suggested language written up for this situation. In short, provide a short non-emotional response and then redouble your efforts to get positive reviews to dilute it.
Is there a contract or minimum length?
No. The Review Management and Monitoring service operates on a month-to-month basis and you may cancel at any time. Recurring billing every 30 days.
What is your refund policy?
The set-up fee is non-refundable once work begins. You have 5 days after your recurring billing to request a refund and cancellation for that month. There are no prorated refunds for partial months of service.
